Thriving Southeast Valley Multi-office Pediatric Practice seeking an Office Manager/Practice Administrator.

Required to supervise staff and oversee the management of all clinic activities and staff working at 3 locations with assistance of supervisors within the practice.

  • Implement the clinic's mission and it’s strategic vision to provide patient centered pediatric care to families from all walks of life in the goal of a patient centered medical home model.
  • Provide leadership in developing, planning and implementing the clinic's business plans.
  • Recommend, develop, and implement improvements for the practice.
  • Inform physician owners about current trends, problems and medical activities to facilitate policy making.
  • Oversee clinic’s operating policies and procedures.
  • Oversee efforts for recruitment, development, and performance evaluation of employees.
  • Oversee the business and financial affairs of the clinic and fiscal management in conjunction with the practice CPA and bookkeeper.
  • Enhance operational effectiveness, emphasizing cost containment without jeopardizing important innovation or quality of care. This includes management of Immunization Inventory, Medical Supply ordering and other Expenses with the assistance of Lead Supervisors in place.
  • Ensure clinic compliance with all regulatory agencies governing health care delivery and the rules of accrediting bodies. Continually monitor operations, programs, physical properties. Initiate appropriate changes.
  • Encourage and assist in local community involvement.
  • Manage and implement marketing strategies for the practice including working with organizations in place.
  • Represents the clinic in its relationship with other health organizations, government agencies, and third-party payers.
  • Manage practice managed care relationships including negotiation with third party payers, provider credentialing, and maintenance of contracts.
  • Serve as liaison and channel of communication between the hospitals, health plans, Clinical Care Organizations, insurance companies and regulatory bodies.
  • Resolve any medical-administrative problems and keep lines of communication open with staff to ensure high employee morale and a professional, healthful clinic atmosphere.
  • Work to improve Patient Satisfaction and Resolve any complaints against practice by families or consultants, to reduce liability and advise physician owners of appropriate next steps
  • Enhance professional development to keep current in the latest health care trends and developments.
  • Maintain strictest confidentiality.
  • Update Employer on staff and provider productivity to help guide compensation. This includes informing Employer of MGMA and community standards, assisting with determination of bonuses based on productivity and determining appropriate raises. Work together with current office lead supervisors in a symbiotic relationship to achieve goals and efficiently manage current practice needs while also assisting maintenance of reliable staff availability to support clinicians in a financially efficient manner.
  • Work with team at office to achieve goals necessary for a Patient Centered Medical Home.

This full-time medical office career opportunity has a Monday – Friday day shift schedule 8:30 AM - 5:30 PM, and is located at our outpatient practice in Queen Creek, AZ.

As the Office Manager you will be responsible for managing all aspects of the day to day operations of the practice. Work together as a team with the Medical Director and Business Director.

The Office Manager will be responsible for:

Providing regular department and program specific reports for finance and administration.

Participating in maintaining financial stability by controlling operating expenses and monitoring revenue generation

Scheduling, coordinating, and facilitating regular staff meetings.

Providing recommendations and/or suggestions on modifications that may improve utilization, patient satisfaction or care coordination.

The Office Manager will:

Supervise and supports all staff, including providing orientation, training, and guidance.

Ensure that all office areas are adequately staffed to provide service and acts as a backup when necessary.

Select, train, counsel and terminating support staff in collaboration with Medical Director.

Present timely performance evaluations.

Monitor and approve support staff timecards; ensures staff’s compliance with attendance and punctuality guidelines.

Monitor and coordinate physician/provider time off in consultation with the Medical Director.

Determine and change work assignments as needed.

Investigate and resolve physician or patient complaints, maintains the necessary documentation and alerts the appropriate person with minimal delay.

Develops best practice protocols and workflows to maintain standards of care and maintain compliance with all regulatory requirements.

Responsible for consistently exhibiting polite, courteous and professional behaviors by adhering to Customer Service Standards and Standards of Behavior.

Educational, Experience Requirements:

The ideal candidate will have strong financial and day-to-day operational experience. The successful candidate must have excellent interpersonal skills, and be a team player with physicians and staff. Strong financial and strategic experience is a must for this position. The candidate should also have strong personal and organizational development skills.

  • At least 3+ years prior experience as an office manager with a medical practice of more than 3+ physicians and preferably multiple locations. Ability to work cooperatively with physicians.
  • Bachelor’s Degree, preferred.
  • Financial experience in healthcare fiscal management.
  • Familiarity with EMR highly desirable.

Other duties as assigned that are reasonably associated with the essential functions of the operations of the medical practice.
